Present a Webinar: How to Manage Q&A
Updated this week

Live Q&A sessions are a fantastic way to connect with your attendees on a deeper level, but managing them effectively can feel like a juggling act. Terrifying, right? But don't worry! In this guide, we'll equip you with the tools and strategies to turn those list of audience questions into engagement gold.

Setting the Stage for Success:

Even before the Q&A begins, you can lay the groundwork for a smooth session:

  • Communicate the Format: Will you take questions throughout the presentation or dedicate a specific time at the end? Announcing this upfront helps attendees prepare and submit their questions.

  • Encourage Audience Participation: Throughout your presentation, actively invite questions and highlight different ways attendees can participate, such as through the Q&A chat or polls.

  • Practice Makes Perfect: Rehearse your responses to potential questions beforehand. This will boost your confidence and ensure you can answer clearly and concisely.

Create Folders for your Q&A

Create folders to categorize and filter the submitted questions. This allows you to organize the questions, making it easier to prioritize, streamline the flow of your Q&A, and ensure you address the most relevant topics for your audience.

Within the Presenter Console,

  1. Open the Q&A Component and click on the + Add Folder hyperlink at the bottom-left of the window.

  2. A window will pop out, prompting you to enter a folder name in the provided box.

  3. Click the Add button to create the new folder.

  4. To edit the folder name, access the created folder and click on the Edit Folder hyperlink at the bottom-right of the window.

  5. To delete a folder, click the Remove Folder hyperlink and confirm the removal.

You may only delete an empty folder. A reminder message will appear when you attempt to delete a folder with questions.

In the example below, the webinar has two presenters, so a folder is created for each presenter.

Real-Time Q&A Notification

Imagine your mid-presentation, captivating your audience with your insights. As attendees think of questions, they submit them through the Q&A, and if the component is not open, no worries! A badge notification will appear to let you know that a question has been submitted:

The indicator count will increase with the number of unanswered questions. When you open the Q&A component, you'll see the exact indicator count beside the Inbox folder.

Managing the Q&A

Effectively manage the flow of questions, prioritize effectively, and keep your audience hooked throughout the webinar!

  • Organize the Submitted Questions: You can drag a question to any created folder.

  • Prioritize: You can bookmark a question to mark it as a higher priority by clicking the ribbon icon on the question.

A bookmark can be removed anytime by clicking on the ribbon again.

  • Filter the Questions: You can choose to display only the questions that are bookmarked and/or unanswered by marking the checkboxes at the top-left of the Q&A window.

    • Bookmarked Only - show only bookmarked questions answered or unanswered.

    • Hide Answered - show only questions that have not yet been answered.

  • Respond to the Questions: To answer a submitted question, click on a specific question, and a textbox will appear to enter your answer. The Answer textbox contains a toolbar to format and personalize your response.

After entering your response, you can only send it to the attendee who asked the question by clicking the Send button.

To send the question and answer to all attendees, select Send to All.

You can review your answer after you have sent it by selecting it again. Select Back to List to return to the full list of questions in your inbox.

Pro Tip: To keep things tidy, you can create a folder "Answered" and drag the questions there once a response has been given.

  • Delete a Question: While audience participation is highly encouraged, there might be situations where deleting a question is justified, such as off-topic inquiry or inappropriate content.

To delete a question, click on the specific question and use the trash can icon to delete.

All deleted questions will be moved to the Trash folder and can be permanently removed by opening the question in the Trash folder and clicking on the trash can icon again.
