The Green Room is a backstage area for producers, presenters, and on-stage attendees to collaborate privately, away from the rest of the webinar audience. Anything that happens in the Green Room, stays in the Green Room because it's not streamed to the webinar audience.
How to Access the Green Room:
When the Green Room feature is activated, a switch to 'Enable Green Room' will appear when creating a new webinar, as long as the presentation source is not RTMP:
The Green Room will only be available if this switch is turned on.
If a webinar does not have this switch turned on and the admin turns it on later, presenters will see the following message, and they will need to refresh the page to make the Green Room work properly.
By default, when a webinar has the Green Room enabled, all the presenters and on-stage audiences will first enter the Green Room. For presenters, they will see the Green Room window open up automatically after their connection.
In webinars without a producer role, all presenters can freely enter & exit the Green Room. With the producer role enabled, presenters still have control by default, but producers can limit access through the Producer Panel—granting only themselves control over who enters and exits the Green Room, while non-producer presenters can still view who’s inside.
For Producers:
In the Presenter Console, producers can access the Green Room by clicking the Green Room icon located at the bottom of the Presenters window.
Once clicked, a Green Room window will open, allowing producers to manage presenters and push them to the Green Room
Producers can manage who controls the Green Room with the
"Set Permission" link from within the Producer Panel.
Once enabled, only producers can move others in and out of the Green Room. However, all presenters can still open the Green Room window to see who’s inside.
For Presenters:
Presenters can be relocated to the Green Room by the producer, or enter on their own. A Green Room icon will appear next to any presenter who has been moved.
For On-Stage Attendees:
If you are on the Producer Control roster, you can move attendees from the On-Stage window and into the Green Room by clicking the Enter Green Room icon.
On-Stage attendees in the Green Room will be designated as 'Audience.'
Remember - At least one Presenter must be present in the Green Room before the option to move becomes available!
It's recommended to first push an On-Stage participant to the green room, and have a conversation with them to ensure the quality of the participant and your webinar.
Inside the Green Room:
Once you're in the Green Room, only those inside can see and hear each other. Presenters will know they are in the Green Room when they see a Green Room icon in the top-right corner of their screen and an icon beside their name.
This icon is a green circle, indicating that the video and audio is coming from the Green Room.
Starting the Presentation:
If all presenters are in the Green Room, webinar.net will prevent the producer from starting the presentation.
A message will appear indicating that there must be at least one presenter outside the Green Room to begin. This ensures that no one accidentally goes live before all presenters are ready.
Moving Presenters to the Green Room During a Live Session:
During a live webinar, a webinar Producer can forcibly move Presenters into the Green Room. However, producers won't be able to move all presenters to the Green Room.
During a live presentation, at least one presenter or on-stage attendee must remain outside the Green Room to keep the session active. webinar.net will ensure you can't start a webinar, or move everyone into the Green Room at once, maintaining a steady flow and preventing accidental disruptions.
