The Conference Call Integration allows your attendees to join a webinar using a phone call instead of web audio. This guide will walk you through enabling and configuring the feature, customizing the attendee experience, and managing available options.
Adding the Conference Call Feature
Once enabled for your account, you can add the Conference Call component from the Interface Builder. Reach out to support@webinar.net to enable the feature.
Adding and Customizing the Conference Call Component
After placing the component onto your console, you'll have access to a range of configuration and customization options. These fall into four main categories:
1. Dial Options
You can offer attendees two ways to join by phone:
Phone Number – Display a dial-in phone number.
External URL – Redirect attendees to an external URL for calling information.
You also have the option to require a Conference ID and PIN for added security:
2. Dial My Phone (Call-Out Feature)
The "Dial My Phone" option allows attendees to enter their number and receive a call that connects them to the webinar. This feature is disabled by default and must be configured using an Online Booking ID from your dial-out provider.
Note: Your conference provider will provide you with the Online Booking ID.
3. Private Conference Call Access
Enable this option to create a unique, private URL that attendees must use to join via conference call. This helps ensure secure access for select participants.
When enabled, the private URL appears directly within the configuration panel and the "Webinar Links" menu.
If disabled, the private access tab is hidden from the "Webinar Links" modal.
4. Screen Customization
You can fully customize the attendee experience for the following screens:
Holding Screen
Join by Conference Call
Dial My Phone
Switch to Conference Call
Switch to Webcast
For the "Dial My Phone" and "Join by Conference Call" screens, you can also edit presentation instructions separately or choose to apply the same instructions to both.
Use the Preview option to see how each customized screen will appear to your attendees.
Additional Component Options
When the Conference Call component is present:
Other components (except Media Player and Header) gain access to an "Available Only in Conference Call Mode" toggle.
This allows for conditional visibility of supporting components based on how the attendee is connected via Webcast or Conference Call mode.
For example, you can configure an HTML or Image component to show only during conference call mode, and use that space effectively.
Remember to also set those components to Show on Launch if needed!
Using the Conference Call Manager
The Conference Call Manager allows speakers and hosts to manage their conference calls directly within the Presenter Console. This eliminates the need to switch between external tools and provides a seamless way to control the entire call experience alongside your webinar.
Key Features
Integrated Call Management – Access your conference call manager from within the webinar.net Presenter Console.
Simplified Audience Experience – Audience members joining via a private access URL will only see the conference call interface, with no webcast toggle.
Configurable Settings – Separate sections in the Interface Builder allow you to configure call information, audience access, and speaker access.
Persistent Phone Numbers – Add and save static phone numbers that remain available across webinars.
Speaker Identification – Presenters are labeled with a SPEAKER tag in the Presenter Console for easy recognition.
Configuring the Conference Call Component
When setting up the Conference Call in the Interface Builder, you’ll see three configuration sections:
Call Information
Enter the Online Booking ID, Conference ID, and PIN.
All three fields are required.
Audience
Controls how the conference call is displayed for attendees.
When attendees join with a private access URL, the webcast option is removed, and only the conference call is shown.
Speaker
Defines what speakers see when they access the Presenter Console.
Includes options for managing the call directly.
Embedded Call Manager Page:
Manage Phone Numbers
The More Phone Numbers page allows you to add static dial-in numbers that can be reused across webinars. This makes it easier for international participants to find a local dial-in option.
Accessing the Call Manager
From the Presenter Console
Once logged in via the Conference Call Speaker URL, speakers will see the Join by Conference Call window open automatically.
The Presenter Chat will also be available.
Call Manager Button
Presenter Experience
Presenters are clearly marked with the SPEAKER label in the Presenters list.
A tooltip appears if the Join by Conference Call window is closed, ensuring quick re-access.
The Current Presenter window can be opened anytime from the first icon in the navigation bar.
Additional Notes
Static Phone Numbers: Clients can add extra phone numbers in the “More Phone Numbers” page. These are saved across webinars for consistency.
Speaker URLs: A unique Conference Call Speaker URL is generated when the component is added. This can be found in the Webinar Links section.
